Studio Policies and Procedures
Uniform
Students are expected to be in uniform with correct hair for all classes, as specified in the uniform lists. If uniform cannot be worn for any reason, this must be communicated with the office in advance. Strictly no school uniforms or jeans.
Attendance
In order to excel and improve, regular attendance and commitment is required. Please notify the office in advance of any absences by either email, phone or Facebook message. Students are encouraged to watch classes if they are injured and unable to participate.
Absences & Refunds
No refund or credit will be given for classes missed unless you are to miss 2 consecutive weeks or more due to holidays or ongoing medical concerns/issues- can be credited/refunded. Holidays need to be advised of in advance (before term’s commencement).
Make up classes for pre-school and early primary years in same style are encouraged where available. Please let reception know. These must be undertaken within the same term. Unfortunately, no make-up classes can be undertaken in Term 4 (with the exception of Tiny Tots) due to classes being focussed on concert work.
Cancellation & Changes to enrolment
Please make contact by email if you are wanting to cancel or make changes to your enrolment. If we have not heard from you we will assume you are continuing and therefore your invoice will be payable.
Non- CAP Payers: All classes are payable in full, by the term; even if you decide to withdraw from class/classes. If you wish to withdraw an enrolment during a term, fees already paid in advance will be forfeit-ed and are non-refundable.
CAP Payers: If you decide to cancel your CAP payment and discontinue your classes (within a calendaryear), two additional weeks of weekly CAP payments will be required to be paid upon cancellation of enrolment/CAP contract.
Overdue Payments
Overdue payments which have not been discussed prior will incur a 10% late fee and loss of term discount. If fees are continually unpaid by the due date, positions in class may be forfeited.
One week late: Reminder email
Two weeks late (with no communication made): 10% late fee and loss of any discounts
Three weeks late (with no communication) made: You will not be able to take part in classes until overdue payment has been finalised.
Class Numbers
Dance On Academy have the right to change, combine or cancel classes in the event of insufficient enrolments. Minimum enrolments of four per group class required (with the exception of some exam classes). Age groups are a guide only and students will be placed in appropriate classes/levels at the teachers’ discretion.
External Classes
It is a conflict of interest for students to be enrolled and attending more than once dance school.
We encourage students to participate in external workshops and performances with our permission and under the condition that it does not clash with Dance On Academy rehearsals, competitions and performances.
It is at the discretion of Dance On Academy teaching staff as to which students may be selected to attend various auditions and workshops.
Behaviour/Conduct
- Dance On Academy strive to create a positive and nurturing environment for all students in and out of the studio. We expect the same supportive atmosphere to extend from all parents and students.
- Always show respect towards Dance On Academy staff members, other parents and dancers.
- Negative communication and feedback between students and/or parents can be harmful to the growth of young dancers and will not be tolerated. If anyone is seen or heard to be participating in negative behaviour, it could result in cancellation of your child’s enrolment at Dance On Academy.
- The use of inappropriate language and disrespectful behaviour is unacceptable on or around the premises, at events and performances and on social media.
- Young children/siblings must be supervised at all times while in the waiting room and bathrooms.
- There is to be no running or acrobatics in the waiting areas and hallway.
- Be respectful of the premises, including furniture and fixtures.
- Remember this is a shared space. Please clean up after yourselves. Change areas and amenities are to be kept clean and tidy.
- Students are responsible for their own property. We will not be responsible for lost or stolen items.
- Dance On Academy has a zero tolerance to bullying and threatening behaviour of any kind from students, family members or staff.
- Any person seen displaying bullying or threatening behaviour will be as ked to leave Dance On Academy.
Privacy/Filming, Photography & Social Media
- All personal information considered or recorded will respect the privacy of the individuals involved; whether they be staff, volunteers, parents or children unless there is a risk to someone’s safety.
- We have safeguards and practices in place to ensure any personal information is protected.
- We completely understand the desire to get cute photos and videos of your child in class but due to consent restrictions and not being able to police what gets shared on social media we cannot allow it. Please respect this.
- Dance On Academy will post and share photos and videos of students where permission has been given. Please indicate on your enrolment form if you do not wish to have your child on social media.
- Anything posted or shared on social media that relates to Dance On Academy must be appropriate and should represent Dance On Academy in a professional manner.
- Any negative posts will be required to be taken down.
Query & Complaint Procedures
We appreciate sometimes parents need to speak to teachers about their child. To ensure not to use up valuable class time, please email to arrange a time to talk out of class time.
If you need to lodge a complaint, please email it to the office.
All complaints and queries will be dealt with promptly, seriously and sensitively and remain confidential.
Injury Policy
- Injuries must be reported to the teacher by the student at the beginning of each class.
- If an injury occurs at the studio we will complete an injury report for the parent.
- If a student has a serious injury, they must present a clearance report from their practitioner stating they are fit to return to class.
- We are not liable for personal injuries.
- All staff hold a current first aid certificate.
- In the event of an emergency we will evacuate the building and staff will help direct students to the nearest exit.
- Students or parents must notify Dance On Academy of any pre-existing injuries.
- When an injury occurs in the studio, Dance On Academy will administer any first aid needed and contact the emergency contact person immediately if required. Any medical costs incurred will be the responsibility of the student/parent/guardian.
Parking
Please stick to our allocated parking bays. If these are taken you must park on the street.
Pick up/Drop of
Where possible, try to adapt the pick-up, drop off protocol. This will ensure the waiting areas don’t become too busy and overwhelming for students changing studios.
All students under the age of 13 must remain inside the building until they are collected by their parents or a responsible adult. This is for the safety of all students.
Smoking/Vaping
We are a smoke and vape free environment. Please do not smoke or Vape in or around the premises.
